This policy explains how the Indian Plumbing Association (“IPA”, “we”, “us”) handles personal data collected through the Indian Plumbing Conference website at indianplumbingconference.com. It covers the delegate registration form, the visitor registration form and the general enquiry form.
What we collect
We only collect what our forms ask for. We do not buy personal data or collect it from third parties.
- Delegate registration: title, first and last name, profession, company name, designation, gender, membership category and membership number, communication address, city, state, PIN code, mobile number, email address, nearest IPA chapter, billing address, GST number where you claim GST input, and a student ID document where you register at the student rate.
- Visitor registration: title, full name, profession, company name, designation, mobile number, email address, city, and — if you tell us you are an IPA member — your membership number and nearest IPA chapter.
- General enquiry: name, email address, mobile number, company or organisation, subject and message.

Why we use it
- To process your registration and issue your registration reference number, badge and receipt.
- To take payment for delegate registration and to issue a payment receipt.
- To verify eligibility, including IPA membership numbers and student status.
- To send you your confirmation email and event information such as schedules and venue details.
- To answer enquiries you send us.
- To meet our tax, accounting and legal obligations.
Who we share it with
We share personal data only with the service providers needed to run the event, and only for that purpose. Each processes data on our instructions.
- Brevo — sends your confirmation and enquiry emails.
- Razorpay — processes delegate registration payments. Card and bank details are entered on the payment provider's own secure checkout and are never stored on our servers; we retain only the payment and order reference, amount, method and status.
- Our web hosting provider — stores the website and its database.
A copy of each registration and enquiry is also sent to the IPA office so our team can act on it. We do not sell personal data or share it for anyone else's marketing.
How we store and protect it
Registration and enquiry records are stored in our database on our hosting provider's infrastructure. Student ID uploads are stored in a directory that is blocked from public web access and readable only by the application. Payments are verified server-side, including a signature check, before a registration is marked paid.
How long we keep it
We keep registration records for as long as needed for the event, and afterwards for the period required by our tax, accounting and audit obligations. IPA to confirm the specific retention period before this policy is published.
Cookies and consent
This site sets only what is necessary to work — for example remembering your cookie choice, and holding a token in your browser so your registration receipt can be shown to you after payment. These are essential and are always active.
Analytics and advertising cookies are switched off unless you accept them. When you first visit, our banner asks for your choice, and until you accept, Google consent signals are set to denied so no analytics or advertising storage is used. You can change your decision at any time using Cookie Settings in the footer.
Your rights
You can ask us to give you a copy of your personal data, correct it, or delete it, and you can withdraw consent where we relied on it. Deleting registration data may mean we can no longer provide your badge, receipt or event access. To make a request, email hq@indianplumbing.org.
Children
This site is intended for professionals and students attending the conference. We do not knowingly collect data from children. If you believe a child has submitted data to us, contact us and we will remove it.
Changes to this policy
We may update this policy when our forms, providers or obligations change. The date at the top of this page shows when it was last updated.
